From PMS and RevPAR to myDATA and Agentic AI. A practical guide to the language of reservations, property operations, revenue and hospitality technology.
A—Z
120 terms. Two languages. A clearer understanding.
Agentic AI describes artificial intelligence systems that can organise steps and use available tools towards a goal. The term is used differently across products. By itself, it does not specify which actions are permitted, how much autonomy is available or when human approval is required.
Agentic RAG lets an AI agent decide when and how to retrieve information while preparing an answer. It may involve more than one lookup. The term describes how context is gathered; it does not imply permission to modify reservations or carry out financial actions.
An allotment is an agreed quantity of rooms, by type and period, made available to a partner for booking. The agreement determines how long that allocation remains available, how unused rooms return to general sale and what financial commitments apply.
A connection in which applications exchange data or request actions through documented interfaces. It needs error handling and, where required, access controls.
An API is a set of rules and operations through which one piece of software interacts with another. It defines what can be requested, which inputs are required and what response is returned. In hospitality, an API can underpin a connection between a PMS, a sales channel or a specialist service.
ADR measures average room revenue for each room night sold during a period. It describes the rate achieved by sales, rather than the advertised room price or the amount paid per guest.
ALOS is the average duration, in nights, of the stays in a defined sample. It describes how long visits last and requires a clear definition of one stay, especially when a reservation includes several rooms.
ARI compares a property’s ADR with the aggregate ADR of a defined comparison group. A value of 100 means the same achieved average room rate, using a common period and revenue basis.
An intermediary that supplies accommodation to other travel businesses, such as travel agencies and tour operators, under business-to-business agreements. The property provides rates and availability for distribution through that network. A bed bank does not necessarily pre-purchase a fixed block of rooms, and its customer is typically a travel business rather than the final guest.
BAR is the best available public rate for a particular room type and stay search, without requiring a special corporate agreement or membership of a qualifying group. It often provides a reference for other offers, but its conditions still need to be checked.
A booking curve shows how the accumulated bookings, room nights or revenue for a fixed stay date or period develop as that date approaches. Compare the same measurement at equivalent days before arrival and state whether cancellations are deducted. Unlike one reservation’s booking window, it records successive views of demand and helps examine booking pace and forecasts.
A booking engine lets a guest search for an available stay and proceed with a reservation through a property’s direct online booking path. It connects dates, guest numbers, available options and booking conditions with the process of submitting the reservation.
Booking window, also called lead time, is the interval between a reservation being made and the arrival date. It is usually expressed in days and describes how far in advance guests book their stay.
In marketing, CTA means Call to Action: a clear prompt, often a button or link such as “Check availability”, that leads to the next step. A click is not a completed reservation. In stay restrictions, the same acronym means Closed to Arrival, which prevents arrivals on a date; that is a separate concept.
Cancelled reservations as a percentage of a defined booking cohort. Use the same date basis and cancellation definition when comparing periods.
Payments & Finance
Card Preauthorization
Προέγκριση κάρτας
A temporary hold on a card that may be captured, released or expire. It is not itself a completed collection. Its validity depends on the provider and network.
A CRS centralises reservations, rates and availability for one property or a group of properties across different points of sale. It supports central reservation operations and exchanges information with other systems according to the integrations available.
Channel cost covers expenses attributed to acquiring and processing bookings through a distribution channel, such as commissions, transaction fees and allocated marketing spending. Comparing channels requires the same reporting period and a consistent method for assigning shared expenses. It is broader than an OTA commission and is not necessarily zero for direct bookings; it also differs from the property’s total operating costs.
A channel manager connects a property’s availability and selling settings with the channels where its accommodation is offered. It exchanges supported information, such as reservations, rates and restrictions, so distribution does not depend on separately updating every booking platform by hand.
Mapping matches an item in one system with its corresponding item in another. In accommodation distribution, it establishes which managed unit or room type, and which selling option where applicable, corresponds to a particular listing or rate on a booking channel.
The distribution of bookings, room-nights or revenue by source channel. State which measure is used; each describes a different mix.
Payments & Finance
Chargeback
Chargeback — Αμφισβήτηση συναλλαγής κάρτας
A chargeback concerns reversal of a card payment through the card issuer's dispute process. It differs from a refund initiated by the business. For an accommodation payment, booking records, terms and evidence of service may be relevant; the outcome depends on the process and evidence in the particular case.
The Climate Crisis Resilience Fee, commonly called TAKK, is a levy applying to specified accommodation categories in Greece. It is borne by the guest and replaced the former accommodation tax. It relates to the daily use of a room or apartment under the applicable AADE framework.
A restriction preventing a stay from starting on a particular date. It does not necessarily prevent an existing stay from including that night. In marketing, CTA instead means Call to Action, a different concept.
Reservations
Closed to Departure
Κλειστό για αναχωρήσεις · CTD
A restriction preventing a stay from ending on a particular date. It differs from closing all availability.
Distribution & OTAs
Conversion Rate
Ποσοστό μετατροπής
The percentage of visits or users completing a defined action, such as a booking. Always specify the action and denominator being measured.
CPOR measures average rooms-department operating cost per sold room night. The result is meaningful only when the report clearly defines the expenses included in its cost base.
A credit document records a discount, return or other relevant adjustment to a transaction. The appropriate type depends on the original document and circumstances. It is distinct from a card refund and does not necessarily arise merely because a reservation was cancelled; the correct treatment is checked with the accountant.
A direct booking is a reservation made with the property itself through its website, by phone, by email or in person. The booking is made through the accommodation business’s own route rather than through a third-party booking platform or travel agency.
In myDATA, transmission means electronically submitting the required document data to AADE through the appropriate channel. It differs from issuing the document or emailing its PDF to the customer. The platform response indicates acceptance or an error; successful registration does not replace accounting review.
Dynamic pricing means adjusting the rates offered for future bookings as demand, availability and other conditions change. An operator can make these adjustments manually or use specialist software, working within an agreed pricing strategy.
Electronic invoicing is the electronic issuance and handling of invoices within the applicable framework. A PDF or email alone does not establish that the required process was followed.
An estimate of future demand or performance based on available data and assumptions. It is an uncertain projection, not a guaranteed outcome.
G
Reservations
Gap Night
Κενή ενδιάμεση νύχτα
An available night between two reservations that may be difficult to sell because of stay-length rules or other restrictions.
AI & Automation
GEO — Generative Engine Optimization
GEO — Προβολή σε απαντήσεις μηχανών AI
GEO is an emerging term for practices intended to improve content visibility within generative AI answers. It does not guarantee a citation or link to a property. Google states that its AI search features require no special markup or new files; established principles of useful, accessible content and SEO remain relevant.
A network through which travel professionals search and book travel services, including hotels. For a property, GDS distribution provides a route to travel agencies and managed business travel. It requires suitable connectivity and commercial arrangements; being listed on an OTA does not automatically mean the property is distributed through a GDS.
Greece & Compliance
AFM — Greek Tax Identification Number
ΑΦΜ — Αριθμός Φορολογικού Μητρώου
AFM is the unique nine-digit identification number in the Greek tax register. It is not a room, property or software account number. The number of properties does not necessarily equal the number of tax IDs.
Μικτό λειτουργικό κέρδος ανά διαθέσιμο δωμάτιο (GOPPAR)
GOPPAR expresses gross operating profit per available room night. It connects operating revenue, the associated operating expenses and room capacity, without being equivalent to final net profit.
A folio is the itemised financial account associated with a guest or stay. It brings together relevant charges and, depending on the system, recorded payments and adjustments. It helps explain how the total was formed before the corresponding final billing documents are issued.
The stages of a guest’s experience, from discovery and booking through the stay and post-departure communication.
Guest Experience & Communication
Guest Messaging
Επικοινωνία με επισκέπτες
Messages exchanged before, during and after a stay for questions, instructions and requests. Available conversation history depends on the connected channels.
iCalendar is a standard for exchanging calendar information, including events and time periods. In hospitality, iCal usually refers to calendar links through which services exchange blocked dates. It connects calendars with a defined set of information, rather than describing every aspect of a booking integration.
AADE is Greece's independent authority responsible for public revenue administration and the application of tax and customs legislation. Its digital services include myDATA and myAADE. A software connection to those services does not mean that AADE endorses the entire product.
The rooms or units a property manages. Total inventory is not always the same as the number currently available for sale.
Greece & Compliance
Invoice
Τιμολόγιο
An invoice documents a sale of goods or provision of services and includes the required issuer, customer and transaction information. It is distinct from a reservation or folio. Correct issuance requires the appropriate document type and accurate tax details.
Activation means preparing the particular business to use an invoicing provider, including issuer details, the service agreement and required procedures. It is more than creating a PMS account.
LOS is the number of nights in an individual stay, counted from arrival to departure: arriving on the 10th and leaving on the 13th means three nights. It does not count guests and differs from ALOS, an average across multiple stays, or minimum stay, a selling restriction.
In Greece, an electronic invoicing provider uses licensed software for the prescribed document authentication and transmission services. AADE publishes a register of licensed software.
MPI compares a property’s occupancy with the aggregate occupancy of a defined comparison group. Its reference point is 100, which means matching the group’s occupancy rather than having a fully occupied property.
A restriction setting the longest permitted reservation for the dates or rate plan to which it applies.
Distribution & OTAs
Metasearch
Metasearch — Σύγκριση προσφορών διαμονής
A service that brings together offers from different providers so travellers can compare prices for a property and selected dates. A link may lead to the property’s own website or an OTA to complete the booking. Metasearch traffic is therefore not automatically direct booking traffic; the booking destination matters.
Minimum Stay is a restriction setting the fewest nights an eligible reservation must contain. It applies to particular dates and selling options according to the system and channel. It measures nights in the stay, rather than how far in advance a guest makes the reservation.
Model Context Protocol, or MCP, is an open standard for connecting AI applications with external data sources and tools. It provides a common way to describe and access available capabilities. It is not a language model and does not itself define what a particular connection can do.
The ability to connect and manage several separate accounts from one workspace, including multiple accounts on the same channel. Each account retains its identity and associated property connections. This differs from multi-property, which describes managing several properties, and does not mean that the external accounts have been merged into one.
The municipal stay fee is a levy benefiting municipalities that applies to the specified accommodation cases and is calculated on the relevant rental or accommodation value. It is distinct from TAKK and VAT. Application and calculation depend on current rules and the business's circumstances and should be checked with its accountant.
myDATA is AADE's electronic books platform. It receives the required document data and related accounting information. For a hospitality business, it forms part of the tax reporting workflow for its transactions. Its name stands for my Digital Accounting and Tax Application.
MARK is the unique registration number assigned by myDATA to a successfully transmitted document. It identifies that document within the platform. It is not the receipt or invoice number assigned by the issuer, nor a reservation number. Its presence alone does not certify that the tax treatment is correct.
A label for an integration offered as part of a product. The label alone does not establish that no partner or intermediary systems are involved.
KPIs & Analytics
Net Revenue
Καθαρά έσοδα
Revenue after specified deductions, such as discounts or commissions. Always state which deductions are included; definitions vary between reports.
Reservations
No-show
Μη εμφάνιση επισκέπτη
When a guest does not arrive as scheduled without cancelling under the agreed conditions. Any charge depends on the booking policy.
O
Integrations & Technology
OAuth — Application Authorization
OAuth — Εξουσιοδότηση πρόσβασης εφαρμογών
OAuth is an authorization framework that lets an application obtain limited access to a service without receiving the user's password for that service. Granted permissions define the access scope. OAuth is not itself a user authentication system or a guarantee that every connected application is secure.
Room occupancy is the percentage of available room nights sold during a defined period. It measures how much room capacity was used, counting rooms for each night rather than the number of guests or reservations.
OTA stands for Online Travel Agency: an online platform where travellers research and book travel services. In accommodation, it brings together property options, displays prices and conditions, and lets the traveller reserve a stay through the platform’s booking process.
A room status indicating that a room cannot accommodate guests for a specified period, for example during repairs. It is normally removed from available inventory for those dates. Record the reason and dates and check readiness before returning it to use. It differs from a room awaiting cleaning or a commercial stop-sell restriction.
Overbooking occurs when reservations for a night exceed the capacity the property or a particular room type can actually accommodate. A double booking is the familiar case in which one unique unit has been allocated to two reservations whose occupied nights overlap.
Capture is the step that submits an authorized payment for collection and subsequent settlement. It differs from authorization, which temporarily holds an amount. Capture may happen automatically or separately where supported, and does not mean the money has already reached the property's bank account.
A payment gateway is the technology service that securely passes online payment information from the checkout journey to payment processing infrastructure and returns the relevant result. For an accommodation business, it can form part of the online payment journey associated with a reservation.
A service handling transactions between payment participants. Authorization, settlement and payout are distinct stages.
Payments & Finance
Payment Settlement
Settlement — Διακανονισμός πληρωμής
Settlement is the stage when funds from a processed transaction move between the financial parties towards the merchant side. In some providers' terminology, funds becoming available in the account balance and the later bank payout are separate steps. An authorized transaction does not mean an immediate bank deposit.
A Progressive Web App, or PWA, is an application built with web technologies that can offer an experience similar to an installed application. It runs through a browser and can be installed on supported devices. The term describes an application approach, rather than a universal checklist of features.
A property management system is the software used to organise an accommodation business around its reservations, rooms and guests. It connects who is staying, when they are staying and the work needed before arrival, during the visit and at departure.
Consistency of prices across channels for genuinely comparable booking conditions. It does not imply an identical contractual or legal obligation everywhere.
A rate plan is an organised pricing option for selling a stay, such as a flexible or non-refundable rate. In everyday commercial use, it is associated with particular conditions and inclusions. Technical structures differ: those conditions may belong to the combination of room type and rate plan.
Returning a paid amount according to the policy and payment process. Cancelling a reservation does not always trigger an automatic refund.
Distribution & OTAs
Release Period
Περίοδος αποδέσμευσης
The agreed interval before arrival or the relevant stay date at which unused rooms in an allotment or block return to general sale. A seven-day release may return the unused balance seven days beforehand. The agreement defines the exact reference date and time; confirmed reservations are not automatically cancelled.
An arrangement to use accommodation on specified dates, with guest details, a price and conditions. A confirmed reservation does not always mean payment is complete.
Greece & Compliance
Retail receipt
Απόδειξη λιανικής
A retail receipt documents a sale of goods or services to an individual consumer under the applicable framework. It differs from a simple payment confirmation. In accommodation, it is distinct from the special TAKK collection receipt; the appropriate document type depends on the transaction.
RAG combines retrieval of relevant information with answer generation by a language model. An assistant might retrieve a cancellation policy from an approved handbook before responding. Quality depends on the sources and retrieval process; this approach does not guarantee a correct answer.
RGI compares a property’s RevPAR with the aggregate RevPAR of a comparison group. It combines relative rate and occupancy performance, using 100 as its reference point.
Revenue management is the structured process of deciding rates, availability, selling conditions and distribution channels in light of expected demand. It aims to make better use of a property’s capacity and the economic value of its bookings.
An RMS is specialist software that supports pricing and inventory decisions. It analyses data and, depending on the product and configuration, recommends or applies rates and other commercial controls for a hospitality business.
RevPAR measures room revenue for each available room night in a period, including nights that remain unsold. It brings together the effect of occupancy and the average rate achieved on the room nights that sold.
RevPOR measures revenue per sold, occupied room night, often including additional revenue associated with the stay. The report must identify the revenue categories included for the figure to be meaningful.
A quantity of rooms held for specified dates and a purpose such as a wedding, conference or travelling group, before every individual reservation is completed. Track the overall allocation, reservations already taken from it and the remaining balance separately. Its effect on general availability depends on the block’s status and configuration.
PMS & Operations
Room Type
Τύπος δωματίου
A grouping of rooms with shared characteristics. A single room type may represent several physical rooms.
Reservations
Rooming List
Rooming list — Κατάλογος διαμονής ομάδας
A list of guests or individual reservations within a group, with arrival dates, departure dates and accommodation requirements. It helps turn an overall room block into specific reservations and prepare reception for arrivals. It may specify room types without assigning final room numbers; the latest changes must reach the team preparing the stay.
Stop Sell is a setting that closes a selected accommodation offer to new reservations for a chosen period. Depending on the system, it can apply to a unit, room type, selling option or particular channel. Understanding its scope is essential to using it correctly.
In property management, this term refers to the person or business whose tax details are used to issue documents. It does not necessarily correspond to one building, room or PMS account. Several properties may use one AFM or different AFMs, depending on the actual business structure.
TRevPAR measures a property’s total operating revenue per available room night. It extends the view beyond accommodation revenue to include the other operating revenue that belongs to the business.
Two-way sync means a connection transfers supported updates in both directions. For example, a channel may send reservations and receive availability. It does not mean every field can be changed on both sides or that updates are instantaneous; direction and precedence are defined for each type of information.
A unified inbox brings guest conversations from supported channels into one management interface. Its purpose is to place the message alongside relevant guest or reservation context and let the operator reply through the available connection, reducing the need to switch repeatedly between separate applications.
The smallest space managed as a separate accommodation unit, such as a room, apartment or villa. Its meaning depends on the property’s structure.
V
Greece & Compliance
VAT — Value Added Tax
ΦΠΑ — Φόρος Προστιθέμενης Αξίας
VAT is a tax applied to taxable supplies of goods and services under the relevant rules and exemptions. The appropriate treatment depends on the transaction and business. It is distinct from the Climate Crisis Resilience Fee; rates and their application should be checked with the accountant.
A guest who arrives at the property requesting accommodation without an existing reservation. Reception checks for an available, suitable room, agrees the rate and conditions, and records the reservation before completing check-in. A booking made online earlier that same day already exists and is not automatically a walk-in.
A notification one system sends to a registered address when an event occurs, such as a new booking. The receiver should validate it and handle repeated deliveries.
